COMPLIANCE AT STEM

 

Compliance at STEM ensures adherence to external regulations, legal requirements, and internal policies. When unresolved efforts persist, Compliance at STEM is a resource for students, parents, school leaders and staff to help navigate and develop soluble solutions in accordance with outside regulatory and legal requirements as well as internal policies and bylaws. It also involves collaborating with students, parents, school leaders, and staff to manage regulatory risk, establish reporting channels for issues, and develop compliance communications.

This role goes beyond simple oversight; it involves partnering with teams to foster a deeper organizational understanding of complex regulatory standards.Compliance at STEM focuses on building solutions through effective problem-solving and driving strategy with unwavering integrity and ethical decision-making.

The Compliance Department is not a complaint department.   If we engage in a compliance capacity, it's typically after all appropriate communication channels identified by the Communication Avenues, have been exhausted and there's a clear instance of a policy or procedure being incorrectly applied.

THE COMPLIANCE PROCESS

STEM COMMUNICATIONS AVENUES

 

Begin by reviewing and exhausting all avenues in the STEM Communications Avenues linked below. 

Once all communications avenues have been exhausted and you still believe that your issue has not been resolved, the following STEM Compliance Process will be initiated upon receipt of the grievance.

Ensure all steps in the STEM Communications Avenues were exhausted.

File a formal grievance or complaint with the supervisor or directly with the Compliance Officer. Note: If with a supervisor, he/she will escalate to the Compliance Officer.

Contact Compliance. See Contact Instructions below.

Upon receipt of the complaint or grievance, the Compliance Officer will acknowledge receipt and notify the Chief Innovation Officer and Board Chair within 48 hours.

The Compliance Officer will seek additional information as necessary prior to requesting written statements.

The Compliance Officer will conduct necessary interviews and review all documents pertaining to the complaint or grievance.

7 Compliance Summary will be submitted to the Chief Innovation Officer and Board Chair.

Resolution: The Compliance Officer will collaborate with the Chief Innovation Officer, and Director of Human Resources as needed, on possible resolutions.
Examples:

  • Restorative conversation

  • Explanation to the complainant that no violation occurred

  • Corrective action: Including recommendations for a more harmonious work environment and up to termination in extreme situations

Compliance Officer will monitor the progress of the resolution.

Closure report completed and submitted to the Chief Innovation Officer and Board Chair.

CONTACT INSTRUCTIONS

 

To initiate the compliance process, the complaint or grievance must be sent via email or written statement.

Please include in your report:

  1. Your complete mailing address
  2. Your daytime telephone number
  3. State the specific action you are requesting
  4. The details as to what occurred
  5. Who you have contacted to try and resolve the issue (example: name of the person in the organization, name of supervisor, etc.)
  6. Any documentation pertaining to the complaint or grievance

Parents with limited English proficiency have a right to be provided oral and/or written information in a language they can understand about any program, service, or activity that is provided to parents who are proficient in English (i.e., parent-teacher conferences, language assistance programs, special education meetings and consents, grievance procedures).
